Billing Specialist

Smart Care is a national repair and service provider for commercial foodservice, refrigeration, and cold storage equipment. Our offering of comprehensive mechanical services includes hot side cooking equipment, stand-alone refrigeration, specialty coffee and beverage, complex rack refrigeration and HVAC.

As a Billing Specialist, you will be responsible for managing the billing cycle for our equipment repair services in an assigned geography. This includes generating invoices and ensuring accurate billing information. The ideal candidate will be a team player who possesses strong attention to detail, excellent organizational skills, and a solid understanding of billing procedures.

Position Details:

The working hours for this position depend on the geography being supported, this could be Monday through Friday, 7am-4pm, 8am-5pm, or 11am-8pm.

Main Responsibilities

• Review service orders and repair estimates to confirm billing details and charges.
• Prepare and issue invoices for services provided, ensuring accuracy and compliance with company policies, and delivering to a customer’s preferred Accounts Payable medium, mainly third-party portals and email. 
• Ensure accuracy of customer invoices through a Quality Assurance process.
• Own billing backlog reporting and maintenance within target range.
• Build and maintain strong end-to-end partnerships with fellow team members
• Work with internal and external stakeholders to address billing inquiries and resolve issues in a timely and professional manner.
• Comfortable navigating multiple customer portals.
• Submit and follow up on notes and estimates in customer portals to ensure that invoices are entered quickly and accurately.
• Answer inbound requests from multiple email boxes.

Minimum Qualifications

• 1+ Years in billing or other relevant experience.

• Intermediate skill in Excel.
• Self-motivated and both detail and process oriented

• Strong organizational and time management skills with ability to manage multiple priorities and meet deadlines.
• Be proactive and Execution Focused.

Preferred Qualifications

• Specific experience with a service-based business and inventory billing preferred.
• Experience with various ERP software, IFS a plus.
• Strong verbal and written communication skills and the ability to interact with multiple levels of management and across functions.

• Superior interpersonal skills: ability to build strong working relationships with customers, management, field personnel, peers, 3rd party partners.
• Analytical and problem-solving skills with a proficiency in Microsoft Office Suite software (Excel, Word, Teams, Outlook), workflow software, and ad hoc reporting tools and databases.

• Bachelor's degree in business, accounting, or finance preferred.
