We have an excellent opportunity for a trusted Executive Assistant to join our team on a 12-month Fixed Term Contract for maternity cover.

In this crucial role, you'll bring your expertise in communication and relationship-building to support our Chief Financial Officer.

Job Description

To provide proactive, effective, and efficient administrative support to the Chief Financial Officer, including but not limited to:

  • Be an integral part of the CFO’s Senior Finance team, including attending relevant team meetings
  • Advanced, proactive diary management, with a good understanding of competing priorities.
  • Preparing the CFO for attendance at meetings including the assembly of documents, papers and Exco and Board submissions as required.
  • Complex and high-volume email management, including responding to emails on the CFO’s behalf and escalating important matters to the CFO for urgent attention.
  • Meeting management, including arranging meetings, producing, and distributing agendas, action items and follow ups and associated papers as required and to the timeframes required. 
  • Ability to follow up without prompting and to stay one step ahead, anticipate requirements and ensure tasks are seen through to completion.
  • Setting up and managing video and teleconferencing.
  • Creating presentations for meetings, in line with company policies.
  • Coordinating appointments, conferences & functions including catering, venue arrangements and other logistics. 
  • Interaction with relevant internal key stakeholders on matters.
  • Maintaining confidence and discretion in all matters without exception.
  • Organising travel including visas, flights, trains and accommodation when required.
  • Ad-hoc support for the Senior Finance team during peak periods such as Year End / Half Year Results
  • Provide holiday cover to CEO

Qualifications

  • Experience of working as an Executive Assistant to an executive board member of a large organisation.
  • Proactive, independent, highly motivated self-starter with an eye for detail.
  • Strong time-management skills and the ability to organise and coordinate multiple projects at once.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Professional and strictly confidentiality with all materials, and exercise discretion when interfacing with the business at all times.
  • Effective operator, well organised, gets things done well and with good pace.
  • Has the ability to build relationships across the business.
