Team StructureÂ
This role sits within the Information Technology team reporting directly into the IT Program office in Grand Rapids, MI with dotted line responsibility to the VP of Automation.Â
Essential Duties & Responsibilities
- Proactively validate business requirements related to assigned projectsÂ
- Effectively facilitate scoping sessions with stakeholders
- Coordinate, manage and complete assigned projects on time and within budgetÂ
- Develop detailed project plans to monitor and track progress within ServiceNow or Monday.comÂ
- Serve as a liaison between IT and business units to coordinate the necessary support needed and to provide successful implementation of project initiativesÂ
- Manage processes to provide structure for new projects and initiatives using IT PMO CoE best practices and tools.Â
- Develop project charters, plans, milestones and schedules using the IT PMO standard project templates/tools to ensure projects are completed on time and expectations of project sponsors are met.Â
- Daily project management support to project sponsors throughout each project life cycleÂ
- Support Program and Project Governance (controls)Â
- Validate resource availability and allocation on each projectÂ
- Facilitate Project MeetingsÂ
- Create Project Status ReportsÂ
- Proactively manage risks, actions, issues, and decisions for each projectÂ
- Identify project dependencies, assumptions and constraints as part of the planÂ
- Create the project stakeholder communication planÂ
- Manage scope and project changes effectivelyÂ

Education and/or Experience:Â
- Bachelor’s Degree or equivalent experienceÂ
- 7+ years of project management experience within a complex IT environment preferably with Automation related projectsÂ
- Having both agile and waterfall methodology experience is a plusÂ
- Must be able to detail hands on experience with the creation and management of large-scale projects spanning multiple departments and stakeholdersÂ
- Project Management certification (e.g., PMP, Prince2) preferredÂ
- Insurance Carrier/Brokerage Industry experience strongly preferredÂ
Knowledge, Skills & Abilities:Â
- A project leader who is comfortable within a fast-paced and often ambiguous environmentÂ
- Self-starter with the ability to reach out and engage with stakeholders at all levelsÂ
- Experience with ServiceNow, Monday.com or similar project management toolsÂ
- Experience with Microsoft Office365Â
- Admin / User knowledge of SharePointÂ
- Familiar with the ITIL Framework a plusÂ
- Familiarity with Intelligent Automation concepts a plusÂ
- Experience applying project management best practices and design-thinking approachesÂ
- Experience working with abstract concepts in innovative ways to solve problemsÂ
- Effective written and verbal communication, including the ability actively listen, and problem solve with minimal assistanceÂ
- Excellent time management and prioritization skillsÂ
- Excellent interpersonal skillsÂ
- Strong facilitation skills, both verbal and written communication.Â
- Strong interpersonal skills (Awareness, Self-reflection, Self-motivation)Â
