Job Description

The Opportunity:

This position involves processing of customer orders, and Customer Service-related work within agreed service levels.
Intermediate level position; provide initial support customers by handling general inquiries, processing customer requests for quotes, resolving issues, cross referencing, expediting, and communicating with internal teams, suppliers, customers, and sales representatives and troubleshooting basic technical related issues. The Customer Support Sr. Associate is responsible serves as a liaison with all parties and seeks to achieve customer satisfaction in every transaction.
Very Good German mandatory for this position.

MAJOR JOB DUTIES AND RESPONSIBILITIES (List in order of importance)

  • Maintains and attracts potential customers by handling inbound sales and customer communication (emails, calls) relating to service status or challenges, concerns, issues within the network.
  • Handles inbound sales and customer communication (calls, emails) in the processing, expediting, and troubleshooting of customer orders.
  • Owns the customer request and experience from initiation to conclusion.
  • Processes, via computer, all customer requests. Utilizes multiple and often complex systems, programs, and monitors to research information.
  • Proactively interacts with outside sales force to ensure regular communication on pricing and other customer concerns. Provides high-level, quality service, closely aligned with sales, to enable sales growth.
  • Follows up with Sales Department, suppliers, and customers on any outstanding issues.
  • Looks for opportunities to provide solutions.
  • Makes recommendations on areas for process improvement.
  • Make decisions based on policies and past precedence, seeking guidance as necessary.
  • Accountable to performance metrics such as schedule adherence, productivity standards and quality standards.

The Quotes Management Associate will proactively review and analyze customer requests and follow them through - ensuring that the delivery takes places, and the right quotation is prepared and sent towards the customer. Including but not limited to:

  • Review the customer instructions to make sure all the customer requirements (Shipping mode & dates, Inco terms, etc.) are met.
  • Generate the Quotation in the SAP and/or Salesforce system by capturing and entering the customer requirements. 
  • Coordinate and source information from other departments (VWR Internal), to resolve any discrepancy occurring in quotations generated.
  • Interact with Technical Product Specialist for proposing alternatives (X-Referencing)
  • Ensure proper quotes follow up with customers (if required) and monitor the quotes approval process to ensure timely deliverables towards our customers.

Additional Responsibilities

  • Perform other duties as assigned, ex. Trainer task, QREP, Support Analyst.
  • Coach new team members with support from Trainer, Team Leader and Manager
  • Provide participation in ABS Improvement Plans and other strategic operational improvements.


QUALIFICATIONS (Education/Training, Experience and Certifications)

· High School Qualification plus 3+ years of experience in a fast paced, customer focused environment.

· Degree level education within science is an advantage.

· Experience in interacting with customers, manufacturers, and colleagues.

· Language skills: Fluent in oral and written English/French & German (mandatory)

· Ability to effectively utilize technology platforms including SAP and CRM Tools.

Strong PC skills with a working knowledge of MSOffice365.

  • Must demonstrate working knowledge of personal computer applications, such as Microsoft Word, Excel, Access, and Outlook
  • Excellent customer service skills (friendly, courteous, and helpful)
  • Excellent communication skills both verbal and written

ENVIRONMENTAL WORKING CONDITIONS & PHYSICAL EFFORT (Under Typical Positions)

  • Typically works in an office environment with adequate lighting and ventilation and a normal range of temperature and noise level.
  • Work assignments are diversified. Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems.
  • A frequent volume of work and deadlines impose strain on routine basis.
  • Minimal physical effort is required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs.
