We’re looking for a Leadership Support Specialist to be the ultimate backbone for our leadership team. This role is not for the faint of heart—you’ll be helping our executives across three different time zones and ensuring everything runs smoothly. Your superpowers will include impeccable attention to detail, a proactive approach, and the ability to seamlessly work across time zones like a seasoned professional.

Your responsibilities will be:

  • Coordinate across time zones: You’ll support the executive team with scheduling and communication, ensuring meetings happen and nothing slips through the cracks—whether it’s in Paris, Perth, or beyond!
  • Manage executive calendars: Keep our busy execs’ calendars in tip-top shape, ensuring all appointments, meetings, and events are well-organized and conflict-free.
  • Tackle administrative tasks: Support the executive team with travel arrangements, expense reports, document preparation, and anything else they need to stay focused and productive.
  • Prepare and organize: From meeting preparation to compiling reports and tracking deadlines, you’ll make sure the executive team is always a step ahead.
  • Meeting & Event Coordination: From offsite meetings to large corporate events, you’ll be the mastermind behind the logistics. You’ll manage event timelines, handle venue bookings, coordinate vendors, and ensure everything goes off without a hitch.
  • Prepare for board and all-hands meetings: Help with the preparation and organization of key company meetings, including board meetings, all-hands, and leadership retreats. You’ll ensure materials are prepped, agendas are set, and everything is ready for smooth, effective meetings.

You will bring:

  • Experience: 10+ years supporting senior executives in a fast-paced environment (bonus if you’ve done this for a startup!).
  • Qualification: Bachelor’s degree in Business Administration, Communications, or a related field preferred
  • Exceptional Organizational Skills: You have a sixth sense when it comes to keeping things in order, whether it’s tracking tasks, managing calendars, or keeping communication seamless.
  • Flexibility with Time Zones: You’re comfortable working across global hours, understanding that sometimes a little flexibility goes a long way.
  • Excellent communicator: You can easily switch between formal and informal communication styles and know how to keep things clear and concise.
  • Tech Savvy: Familiar with productivity tools like Slack, Google Suite, or similar. You know your way around spreadsheets and calendar management tools like a pro.
  • Proactive problem solver: You see potential problems before they happen and find solutions quickly and efficiently.
  • Discretion & Confidentiality: You’ll be privy to sensitive information, so discretion is key.
