About The Position
We are looking for a driven professional with a strong commitment to excellence, who is business-minded, and a self-motivated legal generalist.
We are seeking a highly motivated and organized Legal Operations Analyst I to join our dynamic Legal Operations Team. In this role, you will play a crucial part in supporting our Legal Department of attorneys and paralegals. Your primary responsibilities will include providing direct operational and administrative support, ensuring efficient workflow, and contributing to the overall success of the Legal Department.

  • Excellent written and verbal communication skills. 

  • Proficiency in Microsoft Office 1 Suite (Word, Excel, PowerPoint, Outlook) 

  • Understanding of general technology and willingness to learn & support as needed. 

  • Administrative Duties: Manage the Legal Support Team mailbox and respond to inquiries. 

  • Create and track PR, PO, and billing related tasks. 

  • Process technology access requests for new hires. 

  • Create IT and HR issue tickets on behalf of the Legal Operations team. 

  • Support new hire onboarding. 

  • Maintain the Legal Team sites, distribution lists, and organizational charts. 

  • Provide administrative support to Legal practice groups such as, but not limited to, Corporate, Commercial Contracts, and Compliance. 

  • Financial Management: Process invoices from outside counsel/legal service provider through the e-Billing system (SimpleLegal), track budget to spend and audit any issues. 

  • Maintain vendor information and update records. 

  • Process other legal vendor invoices (e.g., memberships, subscriptions) in Oracle for all Legal departments. 

  • Liaise with IT, Procurement, and Finance departments. 

  • Organizational Support: Support PR, PO, Billing, and Invoicing processes. 

  • Additional Support: Assist with other legal operations tasks as needed - such as document/knowledge management, contract lifecycle management system support, process improvement, vendor management, and data analysis. 

What We're Looking For

  • This role is essential to the smooth operation of our Legal Department. You'll provide critical support in areas such as:

  • Administrative Support: Managing the Legal Operations Team mailbox, facilitating new hire onboarding, and providing administrative support to the practice groups within the Legal Department. 

  • Financial Management: Triaging invoices from outside counsel and vendors, ensuring accurate accounting, and collaborating with Procurement & Accounting teams on new vendor onboarding and payment processing. 

  • Organizational Support: Maintaining departmental distribution lists & organizational charts, and supporting PR (Purchase Requisition)/PO (Purchase Order), e-Billing, and Invoicing.
