The Role
We are looking for a dynamic administrative professional to support our busy offices in New York City and Chicago, as well as two Senior Executives. The Full-Time Office Administrator will be based in our New York City office, in Midtown Manhattan.Â
This position requires an individual who is experienced in office management in a fast-paced environment, as well as supporting at the Senior Vice President level or higher, with great judgment, discretion, and confidentiality. They will provide administrative support for various company and departmental needs in addition to supporting the office locations and Senior Executives. Individual must have excellent communication skills, ability to interact with all levels of personnel in a professional manner, excellent follow through and attention to detail, meet deadlines in a timely fashion and be proficient in the Microsoft Office suite of products. The role will collaborate with the greater team of office administrators and report to the Senior, Office Manager.
This exciting role requires superior attention to detail, great organizational skills, the ability to meet tight deadlines, and to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and working on tight deadlines in a high-pressure environment is crucial. A “can-do” attitude is essential.Â

Responsibilities
Office Management
- Maintaining office services and by organizing all office operations and procedures
- Shipping & receiving mail through Fed Ex, and occasionally USPS.
- Helping keep the work environment well set up for employees by keeping the tools they need on hand and the space maintained E.g., ordering and stocking office and kitchen supplies & preparing desks for new hires.
- Greet meeting participants
- Coordinating and preparing for large and small events, and weekly lunches
- Order and set-up food service for meetings
- Working with building management on maintenance or necessary notificationsÂ
- Serve as a notary to execute Company documents
- Troubleshoot IT challenges within the office and serve as support to IT as needed for technical assistance within the office
Senior Executive Support
- Managing the executive’s desk and daily schedule, including, manage itineraries, meetings, and events, maintaining contact to inform them of upcoming appointments and meetings; Identifying key issues and prioritizing the schedule accordingly.
- Coordinate the logistics of Meetings, Conference Calls, and Video Conferences
- Create PowerPoint Presentations
- Manage complex and fluctuating schedule
- Coordinate and book complex and frequent travel; prepare itineraries
- Work closely with the Leadership team to provide seamless support to the Executive
- Manage and execute various travel arrangements and process travel & entertainment expenses
- Other duties as assigned
Desired Education, Skills, and Experience
- Bachelor’s Degree or equivalent work experience
- Minimum five years of experience in related work environment
- Reliable and professional demeanor
- Notary Public, a plus
- Strong written, verbal, and interpersonal communications skills
- Detail oriented and works with a high degree of accuracy
- Experience working in a fast paced and execution focused environment
- Strong accountability, work ethic, sense of urgency and accountability
- Must be self-directed and able to complete projects with limited supervision
- Exceptional judgement and the ability to be discreet on sensitive matters
- Detail oriented with strong follow-up and follow-through skills
- Demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines.
- Ability to interact comfortably and effectively with employees of our company at all levels including Senior Management
- Ability to interact comfortably and effectively with employees of companies with which we do business
- Self-motivated, proactive, and resourceful

- Excellent customer service skills
- Excellent organization and time management skills
- Strong proficiency and working knowledge of Microsoft Outlook, Word, Excel and PowerPoint

Location(s): Â The position will be based out of our NYC office.Â
Compensation: The salary range for the position is $60,000-$80,000 plus bonus and benefits. Compensation may vary outside of this range depending on a number of factors, including a candidate’s qualifications, skills, competencies and experience, and location.
