About the Role:

The Office Coordinator is responsible for performing various administrative tasks and providing hospitality services in a professional office environment. This role requires excellent organisational skills, attention to detail, and the ability to multitask effectively. Computer skills are essential for managing office-related tasks, the role also requires providing exceptional service to visitors and employees.

Key Responsibilities:

  • Answering the phone: Handle incoming calls, directing them to the appropriate personnel, and taking messages when necessary.
  • Internal Meeting Room Bookings: Coordinate and manage bookings for meeting rooms, ensuring availability and scheduling meetings efficiently.
  • Meeting Room Set-Up: Prepare meeting rooms prior to scheduled meetings, including arranging furniture, setting up equipment, and ensuring a clean and organised space.
  • Lunch Service: Occasionally assist with serving lunch or coordinating catering for office meetings.
  • Coffee Dock Maintenance: Keep coffee docks & Kitchens clean and well-stocked, ensuring that supplies are replenished regularly.
  • Stock Management: Monitor and manage office supplies, including restocking stationery, ordering necessary items, and coordinating with vendors / internal procurement for timely delivery.
  • Store Room Management: Organise and maintain the store room, ensuring items are properly stored, labelled, and easily accessible when needed.
  • Office Maintenance & Housekeeping: Maintain cleanliness and order of common areas, including restocking and tidying up various spaces such as changing rooms, ensuring clean towels are available, etc.Ā  Plant maintenance.
  • Travel and Accommodation Arrangements: Assist with booking taxis and local hotels for employees or visitors as needed.
  • Visitor Welcome: Greet and welcome visitors, ensuring a professional and friendly atmosphere.
  • General Office Administration: Provide administrative support to various departments, including data entry, filing, managing correspondence, and handling courier services.

Requirements:

  • Strong organisational and multitasking skills.
  • Attention to detail and accuracy in performing tasks.
  • Proficiency in computer skills and knowledge of office software ideally Google Suite.
  • Hospitality experience is advantageous.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Ability to adapt to changing priorities and handle multiple tasks efficiently.
  • Interest in wellness space is an advantage.
  • Familiarity with inventory management and ordering processes.

Location & Benefits:
