We are seeking a highly organized and proactive individual to join our team as an Executive Assistant for Zions Bancorporation's Chief Financial Officer (CFO). The Executive Assistant will provide comprehensive administrative support to the CFO, ensuring smooth operations and efficient management of their daily activities. This role requires exceptional attention to detail, strong communication skills, and the ability to handle sensitive and confidential information with discretion.
Responsibilities:
- Calendar and Schedule Management: Efficiently manage the CFO's calendar, including scheduling meetings, appointments, and travel arrangements. Coordinate and prioritize conflicting demands, ensuring the CFO's time is optimized.
- Communication and Correspondence: Draft, proofread, and edit various documents, including emails, memos, reports, and presentations. Handle incoming and outgoing correspondence, ensuring timely responses and appropriate follow-up actions.
- Meeting Coordination: Organize and coordinate meetings, conferences, and events, both internally and externally. Prepare meeting agendas, collate relevant materials, and ensure all necessary arrangements are in place.
- Travel Arrangements: Work within our expense management system to schedule domestic and international travel for the CFO, including flights, accommodations, and ground transportation.
- Financial Support: Assist the CFO in financial management tasks, such as expense tracking, budget monitoring, and invoice processing. Collaborate with the finance team to ensure accurate and timely financial reporting.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including board members, senior executives, and the finance team. Serve as a point of contact for inquiries and requests, redirecting them as appropriate.
- Special Projects: Support the CFO in various special projects, research assignments, and presentations including investor calls and the quarterly employee call. Conduct background research, gather data, and prepare reports to aid decision-making processes.
Requirements:
- Requires a bachelor's degree in business, administration, finance, or a related field, or equivalent experience, and 8+ years administrative, business, finance, or other directly related experience.
- A minimum of 3+ years administrative assistance experience for a large or complex department or senior executive, preferably in the financial industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong written and verbal communication skills, with exceptional attention to detail and accuracy.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently, take initiative, and anticipate needs.
- Strong problem-solving skills and the ability to adapt to changing priorities.
- Knowledge of banking operations, financial terminology, and regulatory requirements is a plus.
