The Opportunity

Our location in Lake Forest, IL has an opening for a Tradeshow & Events Coordinator supporting our Rapid Diagnostics Global Strategic Marketing team. This person will support all aspects of a conference tradeshow, event or symposium portfolio by ensuring all are well-planned and run smoothly from securing the location to planning, managing the organizations appearance and evaluating attendance through metrics-based reporting.

What You'll Work On

• Assist in managing project planning and execution including from kick-off call to post-show debrief.
• Collaborate with variety of teams in yearly planning process within ARDx BUs, regions and other Abbott divisions.
• Support and organize tradeshow participation including event schedule, sponsorships, booth space and event logistics.
• Own and manage the publication of post-show evaluations and reports on central SharePoint team site.
• Coordinate to support booth design and construction with all stakeholders and vendors involved in partnership with BU or regional Marketing teams.
• Support logistics for other miscellaneous in-scope meetings, dinners and symposiums and related policy documentation policy requirements.
• Support management of booth inventory/storage materials and recommend maintenance needs like repairs, disposal or graphic renewals.
• Support the hotel room booking process and/or coordinate rooming list with housing services.
• Assist businesses and teams with event registration and securing necessary on-site requirements.
• Prepare kits and necessary on-site material needs.
• Collaborate with internal digital team and coordinate cross-functionally, provide resources and execute deliverables, as assigned.
• Assist with managing the global events budget tracking and ensuring events stay within the allocated budget.
• Assist with creation of ROI tracking process for events and create post-show assessments for debrief meetings.
• Collect post-show feedback and prepare survey data for post-show analysis.
• Ensure finance documentation, tracking and submissions are completed on time and following correct local policies or financial requirements, including follow-up with accounting to ensure completion.
• Obtain necessary approvals for payments, cross-charges and event-related activities in accordance with Abbott policies and procedures.

Required Qualifications

• Bachelor Degree or equivalent work experience in Marketing, Advertising, Communications, PR or related field
• 2+ years of experience in company event, tradeshow and/or meeting planning
• Project and time management skills, must be process-oriented, detailed and organized with the ability to multi-task efficiently.
• Customer service/communication skills to manage interactions between internal teams, suppliers, third party vendors and other contributors
• Ability to work in a highly matrixed and geographically diverse business environment
• Proficient in Microsoft word, PowerPoint, Excel, with capacity to learn applications such as SharePoint, Veeva, Project Management Tools, CVENT etc.

Preferred Qualifications

• Related experience in Medical Device, pharmaceutical or healthcare field
