The Role:

CommerceIQ is seeking a highly organized and proactive Executive Assistant and Office Manager to support our leadership team and manage our office operations in Mountain View, CA. This onsite role combines executive support with office management responsibilities, requiring a versatile professional who can handle multiple tasks efficiently. The ideal candidate for this role will be an independent worker who can roll up their sleeves and dive into various office projects. They should be comfortable managing the diverse needs of multiple executives while ensuring the smooth operation of our office environment.

This is a fully onsite role with 5 days/week in office.


What You'll Do:

Executive Support

  • Manage calendars, schedule meetings, and coordinate travel arrangements for 3-5 executives
  • Handle confidential information with discretion
  • Prepare reports, presentations, expense management, and correspondence for executives
  • Act as a liaison between executives and internal/external stakeholders

Office Management

  • Oversee office operations, including maintenance and cleanliness
  • Assist with the new office set up and ongoing projects 
  • Point of contact for all meals/events in the office such as weekly team lunches, monthly happy hours, customer meetings, candidate lunches, and food for BOD meetings
  • Manage office supplies and snack inventory
  • Assist with ordering IT equipment for new hires
  • Implement and maintain efficient office systems and procedures

Administrative Tasks

  • Organizing offsites and other event planning
  • Greet and assist candidates coming in for onsite interviews
  • Assist with onboarding processes for new employees
  • Manage vendor relationships and contracts


What You'll Bring:

Qualifications

  • Ability to work onsite 5 days a week in Mountain View, CA
  • Bachelor's degree preferred
  • 3-5 years of experience as an executive assistant or office manager
  • Proficiency in Slack, Zoom, and Google Workspace
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to work independently and take initiative on various office projects

The typical base pay range for this role in Mountain View, CA is USD: $78,000 - $116,000/per year.    

This base pay range may be inclusive of several career levels at CommerceIQ and will be narrowed based on a number of factors including the candidate’s experience, qualifications, and location.  

Base salary is just one part of your total rewards package at CommerceIQ. You may also be eligible for long-term incentives, in the form of company stock options, as well as potential discretionary bonuses. You will also receive access to comprehensive medical, vision, and dental coverage, access to a 401(k)-retirement plan, short & long-term disability insurance, life insurance, paid parental leave, and various other perks. We have at least 10 paid company holidays in each calendar year, in addition to this we have unlimited PTO for our full-time employees.
