As our part time Office Coordinator, you will have the responsibility of overseeing and managing all office-related activities at our Boston location. We are looking for someone to be on-site for approximately 20 hours per week, although this may fluctuate based on company events and needs.

As an office coordinator, you will think, plan & act ahead, so that any colleague, from new hire to Management, feels at home at our offices and is provided with support & service for them to do their respective jobs at the highest standard.

You will become part of the global office & facilities team, working together with other office managers, facility managers, receptionists, and executive assistants.
Â
We need someone who will take initiative while being agile and adaptable. We want someone who takes pride in their work, has a can-do mentality and is fun to be around.
Youâll make Mendix be a great place to work by:Â
General office support:
- Maintaining inventory of office supplies
- Organizing, upkeeping, and managing conference rooms
- Managing business card order & distribution
- Coordinate maintenance and repair work
- Oversee FedEx responsibilities for the Boston Office
- Handle all incoming and outgoing mail & packages
- Administering all office related contracts & invoicing (creating POâs, PRâs, working in EZSuite and SAP â together with facility manager)
- POC for landlord, cleaning services and other office related vendors & suppliers
Taking responsibility for safety & security:
- Ensure to greet all clients, visitors, and employees
- Becoming CPR certified; course provided by Mendix
- Maintaining contracts/maintenance for AED, fire extinguishers, first aid etc.
Support Events:
- Managing internal informal & formal events
- Coordinating external meetings (Siemens)
- Collaborate with IT for onsite eventsÂ
Catering and kitchen office support office:
- Overseeing Meal Services
- Maintaining Coffee Machines
- Maintaining a clean and tidy kitchen area
- Ensure kitchen supplies are stocked
Youâre the talent we need if you have:
- 1-3 years of proven work experience preferably in international operations as an office coordinator, admin, exec assistant, or similar role.
- A âhands-onâ and âcan doâ mentality, though easy-going enough to adapt to unforeseen situations.
- Strong skills in multiple calendar management.
- An eye for detail without losing sight of priorities.
- A comfortable attitude towards working solo, though the ability to build strong (intercontinental) relationships.
- Familiarity with Microsoft programs. Experience with Concur, SAP & EZ-Suite a plus.
- Strong verbal and written communication skills, with both a sense of urgency as well as humor.
- Effective time-management abilities.
- Little fear of taking on new challenges.
