We are seeking a proactive, detail-oriented People Experience (HR) Coordinator to join our growing organization. This role supports the People & Culture team by performing essential administrative tasks, maintaining precise records, and actively assisting in various employee life-cycle activities.
The People Experience Coordinator plays a critical role in enhancing employee engagement, fostering a positive and inclusive workplace, and ensuring compliance with organizational policies and processes. This role requires excellent organizational skills, a keen eye for detail, the ability to maintain confidentiality, and an approachable, compassionate demeanor.

Role and Responsibilities
- Maintain and update employee records in the company’s HRIS and other systemsÂ
- Prepare and distribute documents such as employment contracts, onboarding materials, and benefits informationÂ
- Manage People & Culture-related correspondence, including emails, letters, and memosÂ
- Draft, track, and maintain employment verifications, bonus documentation, salary updates, and retention statementsÂ
- Perform reporting and data analysis using Microsoft ExcelÂ
- Coordinate onboarding processes by preparing new hire materials, facilitating orientation sessions, updating the HRIS, and collaborating with Operations and Accounting teams to ensure proper payroll, systems, and tools setup
- Manage offboarding activities, including conducting exit interviews, ensuring the return of company property, and coordinating with IT and Operations to deactivate access and tools upon departureÂ
- Assist with internal transfers and promotions by updating relevant systems and documentationÂ
- Respond to employee inquiries regarding policies, procedures, and benefitsÂ
- Assist in organizing employee engagement activities and eventsÂ
- Support the resolution of basic employee issues; escalate complex matters to People Experience Leadership
- Ensure compliance with local labor laws and company policiesÂ
- Prepare reports and documentation for audits and inspectionsÂ
- Maintain accurate records of employee training and certificationsÂ
Preferred Qualifications
- 1-2 years of administrative or HR experience with increasing responsibility in a professional environment preferredÂ
- Proven ability to pick up new technology/tools quickly and proficiently
- A deep curiosity and passion for learningÂ
- Skilled in Office 365 (Outlook, Word, Excel, PowerPoint), with advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data visualization techniquesÂ
- Experience with Google Workspace, Teams, and Slack; Jira/Confluence and DocuSign a plusÂ
- Familiarity with HRIS systems preferred; experience with Namely is a plus
- Superior time management skills; a demonstrated capacity successfully managing multiple projects in a dynamic environment
- A strong attention to detail and accuracy; exceptional organizational and project management skills
- Solution-oriented, strong problem-solving skills, and a positive, constructive attitude; ability to think creatively and collaborate effectively
- Flexible and readily adaptable to changing circumstances; willingness to wear “multiple hats” and jump into projects as neededÂ
- Ability to exercise sound judgment and discretion, with a strong understanding of and appreciation for the importance of confidentialityÂ
- Personable and empathetic, with a commitment to fostering a positive workplace cultureÂ
- Excellent verbal and written communication skills
- Interest in employment law and HR best practices a plusÂ
