Job Description Summary
Provides lead technical, business support and analysis for the Computerized Maintenance Management System (CMMS) inclusive of support of asset management, work planning spare parts inventory, and warranty information capture within the software. Coordinates the interface of the CMMS system, procedures and data transfer to various departments and databases. Ensures all CMMS procedures are developed and followed throughout the portfolio. Works under the direction of C&W's Sr. Facility Administration Manager as part of Global Occupier Services (GOS).
Job Description
  • Acts as point of contact for the day-to-day operations of the CMMS.
  • Provides support to users for applicable problems and solutions.
  • Monitors external user community and apprises the account's system users and departments of new capabilities or modules available for use within the FM technology tech stack and, also, ensures the user community develops and maintains procedures related to the FM data.
  • Responsible for the application and user setup in accordance with SOCII of CMMS software, work order, work planning, and spare part functionality of the software.
  • Provides workflow development and configuration and routinely monitors data transfer from and to the CMMS and other core business systems.
  • Coordinates adding, disabling, modifies, and grants user access to CMMS in accordance with C&W SOCII policies and procedures.
  • Performs system set-up configuration including permissions levels, user security roles.
  • Responsible for user training, including the development of training material for users across the client portfolio.
  • Coordinates training and use of application with various departments and divisions across the client portfolio.
  • Develops equipment hierarchy and ensures data accuracy.
  • Reviews all data for adherence to hierarchy and errors prior to uploading or input of data. Modifies as necessary.
  • Supports all CMMS environments, including but not limited to development, testing, training and production.
  • Will manage data integrity of the CMMS database to support the asset management functions of the account and makes recommendations for procuring the necessary data based on criticality and cost.
  • Develops reports, assists with BI portal, dashboard queries and special queries to meet user requirements.
  • Develops graphical Key Performance Indicators, metrics, and screen layouts as required.
  • Acts as the liaison for problem solving and/or escalation with both staff and GOS IT on both the core system and its interfaces.
  • Initiates governance requests for software modifications.
  • Routinely monitors transfer of data between software systems through interface programs and troubleshoots systems and user errors. Works with GOS IT and users to resolve errors.
  • Support Sr. Facility Administration Manager with Governance Alliance on the account, based on management of account data and metrics account wide.


Minimum Qualifications
  • Graduation from high school plus three years of experience in the maintenance of Computerized Maintenance Management System (CMMS), and an understanding of standard work processes.
  • Three years of experience in CMMS administration including complex queries, user permissions, data transfers and report development.
  • Ability to effectively plan, organize, coordinate and supervise the work of others using a CMMS.
  • Skilled in using the Microsoft suite of programs especially Microsoft Word and Excel.
  • Demonstrated knowledge of standard mechanical and electrical terminology and practices.


Desired Qualifications
  • Associate's or Bachelor's degree or IT background. Experience as a Maintenance Planner.
  • Two years of working experience using 360 software suite.
  • Two years' experience in the maintenance field, specifically in facility management. Previous experience developing and delivering user training.
  • Proven written communication skills. SQL experience and report writing a plus.
