Commercial Administrative Assistant โ€“ Livonia, Michigan โ€“ IN-PERSON
Job Summary
Prism Specialties, a disaster restoration company located in Livonia, MI, is currently seeking a Commercial Administrative Assistant to join their team. Under the direction of the Controller, the Commercial Administrative Assistant is responsible for many clerical and accounting tasks to ensure the staff can communicate and work efficiently. This is also a travel position where the individual will be coordinating job activities at customer locations. The jobs typically last between 1-3 weeks and often deployed on short notice. This person can expect to be traveling over 50% of the year.
The ideal candidate for this position is a reliable self-starter who can work independently in a fast-paced environment, has a high sense of urgency, takes pride in their work, and has great initiative.
Responsibilities
ยท Research and implement travel arrangements including flights, hotels, and transportation
ยท Maintain daily log sheets including labor, equipment, and material usage logs
ยท Enter usage information to generate invoices
ยท Coordinate with outside service providers to meet expectations and deadlines
ยท Summarize daily job communications from the Project Engineer and distribute appropriately
ยท Coordinate meals at the job location or hotel
ยท Talk to adjusters, contractors, and customers in a professional manner
ยท Respond to requests for service as required
ยท Assist with generating reports
ยท Use the computer, internet, cell phone, and general office machines
ยท Accurately maintain files and record keeping
ยท Complete invoices and collect payments
ยท Maintain reports and sales data
ยท Professionally draft letters with proper English and grammar
ยท Answer calls after hours when needed
Requirements
ยท Minimum 2-year college degree
ยท Minimum 5 years of administrative experience
ยท Minimum 2 years of accounting support
ยท QuickBooks Desktop experience required
ยท General knowledge of accounting principles
ยท High efficiency with Excel and Microsoft applications
ยท Typing skills of 50 wpm minimum
ยท Works well under pressure with immediate deadlines
ยท Expert Multitasker โ€“ able to switch assignments as needed
