We are seeking a dynamic and versatile Human Resources Coordinator to provide administrative and other support to our enterprising HR team. You will facilitate daily HR functions like team scheduling,employee records management, onboarding and offboarding processes, employee recognition programs, Talent Acquisition coordination and events. The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. You will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you are energetic, demonstrateproficiency in data management, ability to collaborate with different departments, and a deep understanding of HR policies and procedures while maintaining confidentiality and upholding ethical standards.
Responsibilities
- Manages Human Resource records and filing; ensures digital employee records are up to date.
- Facilitates onboarding activities including conducting HR orientation, entering new hires in HRIS system, creating digital employee files, E-Verify checks, managing orientation schedules, and updating orientation materials as needed.
- Facilitates offboarding activities including initiating SharePoint exit checklist, communicating final pay rules to payroll, and processing terminations in HRIS system.
- Monitors HR inbox and responds timely to requests including policy questions, verifications of employment, and unemployment requests for information. Directs other requests to the appropriate HR team member.
- Runs ad-hoc reports in HRIS system, analyzes the data, and prepares a final product for presentation to enterprise managers and leaders as applicable.
- Concierge for HR team projects, including organization, information gathering, progress tracking and bringing project to completion with uniform approach and consistent point of contact.
- Support Employee Recognition programs by monitoring nominations, drafting communications, and supporting committee meetings.
- Creates and maintains tracking spreadsheets for employee recognition and professional development programs.
- Maintains all HR intranet sites including those in SharePoint.
- Enters purchase requisitions in Deltek Costpoint to facilitate the payment of HR invoices.
- Provides administrative and project support to the department.
- Successfully complete other duties as assigned.
Requirements
- Bachelor’s degree preferred, may be substituted with relevant work experience.
- 1-3 years of internship or professional experience providing administrative support (experience in Human Resources preferred)
- Experience working with an HRIS is a plus (UltiPro or UKG is preferred)
- Proficient with Microsoft Office and SharePoint
- Ability to use discretion and work in a confidential environment.
- Attention to detail.
- Strong written and verbal communication.
- Ability to prioritize tasks.
- Problem solving skills.
- Strong interpersonal skills and ability to work collaboratively with employees at all levels.
- Knowledge of labor laws, HR practices and regulations is a plus.
Logistical Requirements
- At this time we will only accept candidates who are presently eligible to work in the United States and will not require sponsorship.
- Our organization requires that all work, for the duration of your employment, must be completed in the continental U.S. unless required by contract.
- If you are local to our offices in Arlington, Silver Spring, Novi, or Portland this role will be hybrid (in office on Wednesdays - our collaboration days).
- Must be able to work during eastern time unless approved by your manager.
- Employees working remotely must have a dedicated, ergonomically appropriate workspace free from distractions with a mobile device that allows for productive and efficient conduct of business.
