The scope of our responsibilities include operational management of the buildings comprising the 3.5 million square foot MHSC and the South Campus Center instructional support for the Health Sciences community clinical skills and assessment scientific and medical visual communication services and scientific instrument services that support the manufacture testing and maintenance of clinical and research equipment.
We have an outstanding opportunity for an
Office Support Supervisor (Administrative Assistant Supervisor) to provide proactive instructional support to the Health Sciences Community. This role is primarily tasked with supervising the student staffing pool managing daily operations related to equipment reservations and systems and providing optimal and responsive customer service.
The Office Support Supervisor is responsible for interviewing hiring training scheduling and supervising the student staffing pool that fulfill the following operations for the unit: administrative tasks frontline customer service and equipment deliveries and pick-ups within Health Sciences schools and centers.
The Office Support Supervisor also works with internal and external customers and collaborators to troubleshoot equipment needs for courses research and events.
Other duties of the Office Support Supervisor include but are not limited to:
Maintaining internal and external service documentation content and website content; Processing equipment orders; Managing inventory and billing for services; Managing locker rentals and coordinating deliveries and pick-ups for laundry customers in the Health Sciences and some UWMC departments. With an emphasis on office logistics this position will be expected to develop scalable solutions that improve the delivery of instructional support services related to work orders and equipment reservations; regularly evaluating service delivery to ensure continual process improvement and innovation. The Office Support Supervisor will also be responsible for performing the basic functions of every Instructional Support team member which include but are not limited to:
Creating work orders; Providing basic A/V support to customers; Scheduling events and participating in department-wide HSAS&F initiatives and teams. The position is responsible for their work with little oversight from a supervisor. This position provides the opportunity to work in a diverse friendly customer-service focused work environment.
Requirements include: High School/GED
AND five years of office or administrative support experience to include one year of experience as a full-time lead or supervisor
OR an equivalent combination of education and experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements such as a license/certification/registration.
Desired:
Two years of experience as a clerical lead/supervisor
Two years of experience supervising training and delegating work
Two years of clerical experience
Experience with:
Payroll systems (Workday) Work scheduling software (WhenIWork) Ticketing and Request Systems Microsoft 365 Office Suite Google Documents and SharePoint Basic knowledge with classroom audio-visual equipment Web Technologies and Scripting (JavaScript & html) R25 or other room scheduling software Conditions of Employment: May be required to accept variable work shift.
Work may require access to confined spaces and heights using approved safety precautions.
Ability to lift / move 20 – 30 lbs and move heavy material may be required.
Must be able to be fitted for and wear a respirator on the job.
